The everyday problem

A field sales engineer spends a large part of the week not with customers but at the desk and in the car: preparing meetings, checking the CRM for what was discussed last time, looking for suitable references, writing the visit report afterwards, drafting the follow-up, setting the reminder.

Much of it gets left undone. The CRM has gaps, because after a long day nobody manages the data entry. Follow-ups go out late. And when a colleague leaves the company, half the customer history leaves with them.

  1. Prepare the meeting

    Before a customer meeting the agent puts together a short briefing: customer history from the CRM, recent quotes and orders, open topics, current news about the company.

  2. Find what fits

    It suggests products, references and documents that match the customer’s needs — from your product material and quote history.

  3. Summarise the conversation

    After the meeting the salesperson dictates a few sentences or uploads their notes. The agent turns them into a structured visit report.

  4. Draft the follow-up

    It drafts the follow-up email, with the agreed points and the right documents attached.

  5. Keep the CRM current

    It proposes the CRM entries — report, next steps, reminder. The salesperson confirms with one click.

  6. Remind

    It points out customers who have not heard from you in a while, and quotes where a follow-up is due.

Approval stays with people

The agent drafts, your sales team decides. No email goes to a customer unless the responsible salesperson has read and sent it. No CRM entry is written without confirmation. How much groundwork the agent may take on is your call.

What the agent deliberately does not do

  • It does not contact customers on its own. Every outgoing message is approved by a person.
  • It makes no price or delivery commitments. Your sales team negotiates the terms.
  • It does not monitor employees. The agent is a tool for sales, not a control instrument for sales management.
  • It does not buy contact lists or send mass mailings. It works with your existing customers and contacts.

On your own servers if you wish

Customer data, terms and quote history are among the most valuable things a company has. The sales agent can run entirely on your own servers. Then your customer data stays in your network, and the agent can be operated in line with data protection law without relying on a cloud provider’s promises.

FAQ

Questions about the sales agent

Does the agent write to our customers on its own?

No. It drafts; your sales team reads, edits and sends. That is not a limitation but the intention: the relationship with the customer belongs to your people.

Our CRM is poorly maintained. Is it still worth it?

Especially then. The agent takes over much of the data entry because it prepares reports and entries. But it cannot conjure a complete history out of a patchy CRM — the best results come when the ERP and email history are added as a second source.

Which CRM does it work with?

With the common CRM systems, as long as they have an interface. A CRM module inside the ERP is no obstacle either. Which connection makes sense is something we work out in the workshop.

What about data protection for customer data?

The agent can be operated in line with data protection law — in the cloud with the necessary agreements, or entirely on your own servers. Which option suits you is something we discuss with your IT and your data protection officer before we build anything.

Does the agent replace salespeople?

No. It gives them back time that today goes into preparation and follow-up. Selling is still done by people.
